All company data lives in individual salespeople's heads or in their own Excel files. If someone leaves, customer information and negotiation terms just disappear. How do we handle this risk?

The root of this risk is "knowledge exists only in people." To solve it, the first step is to centralize all customer data, quotation history, trading terms, and communication records into a company-wide system, not scattered across personal inboxes or Excel files. Every quotation and PO has version history; every change is tracked, so when a team member moves on, the next person can see the complete context without depending on verbal handoffs from the previous salesperson. Second, configure frequently used quotation terms and trading rules as reusable templates. When a new salesperson takes over the same customer, they don't have to learn from scratch—they can directly apply the previous settings and adjust as needed.
