What is the difference between "Inquiry" and "Quotation" in the Patisco system?
In the Patisco system, an "Inquiry" is a purchase request record received from a customer. The system helps you track the source, status, and follow-up progress of each inquiry. A "Quotation" is the formal quotation document you create in response to that inquiry. You can fill in items, unit prices, and terms directly in the system and export it in standard format to send to the customer. The two are linked in the system, making it convenient to track the complete journey from inquiry to transaction.
What export documents can I generate directly in Patisco?
Patisco currently supports the creation and export of several common international trade documents, including Commercial Invoice, Packing List, and Quotation. Data within the system can be shared across documents. For example, product information entered in a quotation can automatically populate the invoice, reducing errors and time spent on duplicate entry.
How is Patisco's "Buyer Management" different from a typical CRM?
Patisco's Buyer Management module is specifically designed for international trade scenarios. In addition to basic contact information, it records each customer's inquiry history, quotation records, and order status, allowing sales staff to quickly grasp the complete interaction history with each overseas buyer. Compared to general-purpose CRM systems, Patisco aligns more closely with actual international trade business practices and does not require additional customization.
As a new user of Patisco, which feature should I start with?
We recommend new users follow your natural business workflow and familiarize yourself with the system in sequence: First, establish your main customer data in "Buyer Management". Second, create your first inquiry record in inquiry management. Third, generate your first "Quotation" against that inquiry to experience the complete process from inquiry to quotation. After mastering the basics, you can further explore export document features, which will effectively reduce your learning curve.
How do I add a new product in Patisco?
In the Product Management module, click "Add Product", fill in basic information such as product name, part number, specification description, unit, and pricing, then save. Once created, the product data can be directly applied to quotations and inquiry responses without re-entering the information.
Can a product be priced in multiple currencies?
Yes. Patisco supports setting multi-currency pricing for the same product (such as USD, EUR, JPY, etc.), making it convenient to directly apply the corresponding currency pricing when dealing with buyers from different countries, reducing manual conversion errors.
What is the purpose of product tags and how do I set them?
Product tags can be used for custom categorization, such as marking by product line, target market, or certification type (e.g., CE, RoHS). Add keywords in the "Tags" field on the product editing page, and later you can filter quickly by tags to improve efficiency when managing a large number of products.
How do I take a product off the shelf that is no longer being sold while keeping historical data?
Find the product in the Product Management page and switch its status to "Discontinued". Once discontinued, the product will no longer appear in the product selection menu when creating new quotations, but the product information in historical quotations and order records remains intact for future reference.
Can product data be imported in batches? What scenarios are suitable for this?
Patisco supports batch importing product data through an Excel template, particularly suitable for new users implementing the system who need to create a large number of products at once, or for scenarios where price catalogs are updated regularly. Download the official import template, fill it in, and upload it to quickly build your product catalog.
In Patisco, what do PO, PI, QT, and IQ each represent? What are the differences?
In Patisco's trading document system, IQ (inquiry) is the document initiated by a buyer to ask the seller for pricing; QT (quotation) is the seller's formal price reply; PI (Proforma Invoice) is a preliminary invoice provided by the seller before shipment to confirm transaction terms; PO (PO) is the formal purchase order issued by the buyer after confirming purchase intent. These four document types each have independent workflows in Patisco and can be cross-referenced for tracking.
How do you create a new quotation (QT) in Patisco?
In Patisco, go to the Trading Documents module and select Quotation (QT). After clicking to create new, you can fill in customer information, product details, unit price, currency, payment terms, and validity period. Once completed, you can save as draft or send directly to the customer. The system automatically records quotation versions for easy comparison of revision history during subsequent negotiations.
The customer has objections to the quotation content and requires multiple revisions. How does Patisco handle version management?
Patisco's trading document system supports negotiation version control. Each time a quotation (QT) or Proforma Invoice (PI) is revised, the system automatically retains historical version records, allowing sales staff to clearly see the changes and timestamps of each version. Once both parties confirm the final version, they can proceed with online confirmation on the platform, avoiding version confusion caused by back-and-forth email exchanges.
After receiving a customer inquiry (IQ), can you directly convert it to a quotation in Patisco?
Yes. Patisco supports one-click document conversion. After sales staff receive an inquiry (IQ), they can directly convert it to a quotation (QT) in the system. The system automatically brings in customer information and inquiry items—you only need to add pricing and terms to complete the quotation. This saves time on duplicate data entry while maintaining document relationship tracking.
Can trading documents be modified after confirmation? What should be done if order content needs to be changed?
In Patisco, once a trading document (such as PO or PI) is confirmed by both parties, the system locks it to protect the integrity of the transaction record. If order content needs to be changed, it is recommended to create a revision version or supplementary agreement document through the system and go through the confirmation process again, ensuring both buyer and seller agree on the latest terms while maintaining a complete audit trail of changes.
How do I create a shipping document? What prerequisites must be completed first?
Prerequisites: You must have a confirmed (or CLOSED) PI (Proforma Invoice). Steps: 1) Go to "COMMERCE → Shipping Management" and click "+ Add". 2) Step one: Select the buyer you want to ship to from the card list (you can see how many PIs each buyer has pending shipment). 3) Step two: Select the corresponding PI and check the items and quantities you want to ship this time. 4) Click "Add" to create the shipping document and enter shipping details such as departure date, vessel number, port of origin, and destination port.
Can one PI be shipped in multiple batches? How do I do this?
Yes! Patisco supports partial shipments. One PI can correspond to multiple shipping documents, and the shipment quantity does not need to be completed in one batch. Each time you create a new shipping document, after selecting the PI in step two, only check the items and quantities you want to ship this time (you don't need to select all of them). The remaining quantity can be shipped in the next batch. The system automatically tracks the shipped and unshipped quantities for each PI.
Why do the Packing List and Commercial Invoice have different line counts?
This is due to the "remainder box" mechanism. Packing List: Remainder boxes (the last box that doesn't reach the standard quantity) are listed as a separate line because they have different dimensions and weight from regular boxes and need to be recorded separately. Commercial Invoice: Remainder boxes are merged back into the main product line. The invoice only summarizes the quantity by product name and does not distinguish remainder boxes. It is normal for these two documents to have different line counts—this is not an error.
What is "mixed-box packing"? In what situations do I need to use it?
Mixed-box packing refers to products of different SKUs sharing the same physical carton. For example, product A and product B are each packed halfway into the same carton. In this case, only the main product records the carton's dimensions and weight, and other mixed-box products do not register separately to avoid double-counting volume. If you have multiple small products packed together for shipment, you may use this feature.
How do I set up exchange rate conversion (押匯)? What scenarios does it apply to?
The exchange rate conversion mechanism is used when a Commercial Invoice needs to be output in a different currency. On the shipping document details page, set up the conversion by specifying: target currency, exchange rate value, rounding method (round half up / round down / round up), and decimal precision. For example, if a PI is priced in USD but the buyer needs a Commercial Invoice in TWD, you can set up the exchange rate to automatically convert. The system also supports using different exchange rate settings for "shipping document copies".
When a shipping document contains items from multiple PIs, how do I distinguish which item comes from which PI?
The system uses an "identifier" mechanism: when a shipping document contains items from multiple PIs, the system automatically assigns a 2-character identifier (such as A, B, C...) to each PI's item group, displayed in the identifier field of each line in the Packing List for easy cross-reference with different PIs. You can also set whether the identifier is displayed before or after the carton number on the shipping document.
How do I add freight or other charges to a shipping document?
On the shipping document details page, find the "Additional Charges" section and click to add. Fill in: charge name (such as Freight), category, amount, whether to output to reports (if it should not appear on the CI, you can select "Do not output"), and the associated PI. You can also set "PI Total Price Adjustment" to apply a percentage discount or fixed amount adjustment for specific PIs, providing flexibility to accommodate different shipping conditions.
How do I invite new buyers to my platform?
Steps: 1) Go to "RELATIONSHIPS → Buyer Management" and click "+ Add Buyer". Fill in basic information such as company name, contact person, and email. 2) Enter the buyer's detail page and click "Send Invitation" or "Copy Invitation Link". 3) The system sends an invitation email, or you can share the link with the buyer yourself. 4) After the buyer accepts the invitation through the link, the status automatically changes to "Invitation Accepted" and they can use buyer-side features. You can track the invitation status at the top of the detail page.
The buyer says they didn't receive the invitation email. What should I do?
You can resend the invitation: In "Buyer Management", find the buyer and click "Resend Invitation" in the action menu on the right. Alternatively, open the buyer's detail page and click "Send Invitation" in the invitation status section. Another option is to "Copy Invitation Link" and send it directly via email or instant messaging, so the buyer can complete the invitation process by clicking the link. If the problem persists, please verify that the buyer's email address is correct.
How do I set different prices and products for different buyers?
Use the "Trading Condition Setting" (filter) feature: 1) Go to "RELATIONSHIPS → Trading Condition Setting" and create a new condition template. Set the currency, trading terms (Incoterms), visible pricing tier (which MOQ Tier), and price adjustment method. 2) On the Buyer Management page, enter the buyer's detail page and open the "Trading Settings" tab. Assign the buyer to the corresponding template. 3) The same template can be applied to multiple buyers, so buyers with identical conditions only need one template.
What is the public page? Can visitors view my products without logging in?
Yes! The public page allows unlogged-in visitors (potential customers) to browse your catalog. You can set up a public page in "COMMERCE → Public Page Management" and bind it to a Trading Condition Setting template to control what content visitors see (typically showing only partial information, with prices displayed as "-" to indicate inquiry needed). The public page URL format is {company code}.patisco.com/public/...
In the buyer's Trading Condition Setting, what does "Negotiation Allowed" do?
When "Negotiation Allowed" is enabled, the buyer can input values different from your settings in the quantity field and other places during ordering or inquiry, allowing individual negotiation. When disabled, the buyer can only place orders according to your set conditions and cannot modify specifications or unit prices. This setting is suitable for providing different levels of negotiation flexibility to different buyers—important long-term customers can have negotiation enabled, while general customers maintain fixed pricing.
How do I set up to let buyers see product inventory quantities?
In the "Trading Condition Setting", find the "Display Settings" card and look for the "Can View Product Inventory" option. Toggle it to "On". After setting this, buyers assigned to this Trading Condition will be able to see product inventory quantities on the catalog page. If you want only specific buyers to see inventory, create a dedicated Trading Condition template and assign it only to those buyers.
I am both a buyer (purchasing from suppliers) and a seller (selling to my own customers). How do I manage this?
Patisco supports the Diffusible mechanism (supply chain diffusion): Your account has both seller and buyer roles simultaneously. As a seller: Manage your own products and customer orders in "COMMERCE". As a buyer: View your supplier list in "RELATIONSHIPS → Seller Management". In "COMMERCE → Orders" you can see the purchase orders you place with suppliers. Both roles switch seamlessly in the same backend interface.
How do I upload a company logo and document header image?
On the "ADMINISTRATION → Company Profile" page: 1) Company Logo: Find the "Brand Assets → Company Logo (Avatar)" card and click to upload an image. 2) Document Header: Find the "Export Document Header Settings" card and upload your document header image (recommended resolution 555×90 ppi). This image will appear at the top of all exported PDF documents. After uploading, save to apply the changes.
How do I change the theme color of the system interface?
On the "ADMINISTRATION → Company Profile → Appearance & Language → System Color Settings" card, you can modify the primary accent color for the entire tenant, affecting buttons, selected states, and other UI elements. The default color is pink (#ff3d77). After modifying and saving, all users' interfaces will update to the new theme color.
How do I add an employee account? Can I restrict an employee to only see specific buyer data?
On "ADMINISTRATION → Permission Management": 1) Click "Add" to create an employee account and fill in name, email (login ID), initial password, job title, and department. 2) In the right panel of the employee details, under the "Buyer Assignment" section, you can specify which buyer companies this employee is responsible for. 3) Set the employee's role (admin or regular employee, etc.) in the "Permission Type" field to control which features they can access.
How do I set up email sending (SMTP) so the system can send invitation emails using the company's email address?
On "ADMINISTRATION → Company Profile → Integrate Third-party Applications → Email Sending Settings", two methods are supported: 1) GMAIL: Authorize using a Google account. 2) Custom SMTP: Enter your company's SMTP server, port, account, and password. After setup is complete, all system-generated invitation and notification emails will be sent from your company mailbox, enhancing professionalism.
How do I set up the AI assistant feature (to use my own AI API key)?
On "ADMINISTRATION → Company Profile → Integrate Third-party Applications → AI Assistant Settings", select an AI provider (1=ChatGPT / 2=Claude) and enter your API Key. After setup, the system's AI-powered features (AI suggestions for trading documents, change summaries, etc.) will use your own account quota instead of Patisco's shared quota.
An employee has left the company. How do I disable their account without deleting historical data?
On "ADMINISTRATION → Permission Management", find the employee and in the right panel under employee details, change the "Status" field to "Disabled". After disabling, the employee cannot log in, but all historical records (orders created, products, etc.) are fully preserved and business data remains unaffected. If needed in the future, you can restore the account by changing the status back to "Active".
How do I view the history and status of buyer invitations sent?
On the "ADMINISTRATION → Account Management" page, switch to the "Invitation History" tab to see all sent invitations, including: recipient, email, invitation date, and invitation status (accepted/pending/terminated). For invitations still in "pending" status, click the "Resend Invitation" button on the right side of the record to resend it.
How do I set my personal interface language to Traditional Chinese?
Click the profile icon in the top-right corner and select "Personal Profile Settings" (or navigate from the sidebar "ADMINISTRATION → Personal Profile Settings"). Find the "Language" field in the "User Basic Information" section, select "Traditional Chinese", and save. The interface language will switch immediately. Note: Personal language settings only affect you and do not affect other employees' interfaces.
How do I start a new discussion topic?
There are two ways: 1) Quick panel: Click the communication icon (💬) in the Header Bar at the top right, then click "+ New Topic" in the right panel and enter the topic title. 2) Discussion Management page: Go to "ADMINISTRATION → Discussion Management" from the sidebar and click "New Topic". Once created, you can start sending messages in the discussion thread and invite colleagues or buyers to join.
Can buyers join discussions? How do I invite buyers to participate?
Yes! Patisco supports cross-company discussions. In a discussion topic, you can add a participant of type "Buyer" by selecting a buyer you have previously invited (who has accepted the invitation). Once added, messages sync across both systems, and the buyer can see the discussion content in their account and reply, just like a shared communication channel.
How do I know which messages I haven't read yet?
There are multiple ways to track unread messages: 1) The communication icon (💬) on the right side of the Header Bar displays a red unread count badge. 2) When you open the communication panel, the topic list shows "Unread Topics N" at the top. 3) Unread topics in the list have clear visual indicators (red dot or bold text). 4) The Discussion Management page also has an "Unread Messages" statistics card. Once you enter a discussion thread, messages are automatically marked as read.
Can discussions be linked to specific orders or products?
Yes! Discussion topics support an "Associated Objects" feature. In a discussion thread you can add associations to: orders (PO/PI), quotations (QT/IQ), products, and more. Once linked, messages in the discussion will have clickable links to the corresponding order or product page. Clicking these links takes you directly to the relevant document, keeping communication content tightly integrated with business transactions without needing separate searches.
Do messages support file attachments? How do I send them?
Yes, file attachments are supported. Next to the input box at the bottom of the discussion thread, there is a "📎 Attachment" icon. Click it to select the file you want to upload—it can be an image or document format. After uploading, send it together with your message. Recipients can view or download the attachment in the discussion thread.
How do I find a specific topic in the Discussion Management page?
Click "Open Discussion Workbench" on the Discussion Management page. The topic list on the left supports multiple filtering options: 1) Search: Search by topic name keywords. 2) Filter: Toggle between "All" or "Unread". 3) Sort: Sort by "Latest Updated" or other conditions, with options to switch between newest-to-oldest or oldest-to-newest. 4) Advanced Filter: Provides more detailed condition settings. Once you find the topic, click it and the complete discussion thread appears on the right.
I clicked a button in Patisco but the system didn't respond. What should I do?
If the system does not respond after clicking a button, we recommend trying the following steps: Initial Troubleshooting Refresh the page: On Windows, press F5 or Ctrl + R; on Mac, press Cmd (⌘) + R. Clear browser data: Clear your browser cache and cookies. Switch browsers: We recommend using the latest version of Chrome or Edge. Check network status: Confirm that your internet connection is stable.
I was entering data in a quotation or inquiry halfway through when the page suddenly jumped or data disappeared. How can I prevent data loss?
This situation may be caused by session timeout or interface glitch. We recommend making it a habit to click the "Save as Draft" function periodically (if available), or back up important information to your local device first. If you discover data has disappeared, please contact the Patisco support team immediately. We can help verify from the backend whether there are any auto-save records available for recovery.
Some pages in the Patisco system display abnormally or the layout is distorted. Is this a device issue or a system issue?
Layout display anomalies may result from browser compatibility or system updates. First, ensure you are using the latest version of your browser, and try opening the system in incognito mode. If it displays normally in incognito mode, the issue is likely caused by browser extensions. If it still appears abnormal, it may be a UI issue on the system side. Please report it to the Patisco technical team and provide a screenshot and your browser version information for quick troubleshooting.
The document generation function keeps loading and cannot be completed. Is the system stuck?
If the document generation function is unresponsive for a long time, it may be due to backend processing timeout or temporary system glitch. We recommend waiting approximately 1-2 minutes and then refreshing the page to confirm whether the document has been generated in the document management list. If it still does not appear, please do not click repeatedly to avoid creating duplicates. Contact Patisco customer service directly with your order number, and we will help verify the backend processing status.
How do I report a bug or anomaly in Patisco system operations so the technical team can fix it quickly?
When reporting a system issue, we recommend providing the following information to expedite processing: 1) The functional module where the issue occurred (such as quotation management, inquiry tracking, or export documents); 2) Detailed steps to reproduce the issue and a description of the problem; 3) Screenshots or videos; 4) The name and version of the browser you are using; 5) The time when the issue occurred. You can submit your report through the "Report Issue" function in the Patisco system or via customer service email. The technical team will prioritize and schedule fixes accordingly.
What sections are available on the V5 Dashboard homepage, and how can I quickly check if there are any pending items to handle?
After logging in, the system will take you directly to the Dashboard page. We recommend checking the following sections in order: 1. Review the "Documents needing action" section to confirm whether there are any overdue or upcoming documents. If there are, click on the corresponding document to follow up. 2. Check the "Recently updated orders" section on the right side. Click on an order number to jump to that order's details, or click "All orders >" at the bottom to view all orders. 3. Review the "Document notifications" and "System Message" under the "To review" section. Any notifications require you to manually click on each item to enter the corresponding page for processing. 4. If the section data appears out of date, click the "Refresh" button on the right side of that section to update it.
